Agreement to Terms

By creating an account or using Flow ("the Service"), you agree to these Terms of Service. If you don't agree with any part of these terms, please don't use our service.

Quick summary: Be respectful, don't abuse the platform, pay for what you use, and understand that we provide software "as is" with reasonable care but no guarantees.

1. Your Account

Account Responsibility:

  • You're responsible for maintaining the security of your account
  • All activity under your account is your responsibility
  • You must provide accurate information when registering
  • You must be 18 or older to create an account

Account Types:

  • Account Portal: For account staff managing agencies
  • Agency Portal: For agency users managing students and applications
  • Superadmin Portal: For platform administrators

2. Acceptable Use

You agree NOT to:

  • Use the service for illegal purposes
  • Upload malicious code or attempt to breach security
  • Access other users' data without authorization
  • Spam, harass, or harm other users
  • Reverse engineer or attempt to extract source code
  • Resell or redistribute the service without permission
  • Use the service in a way that could damage our systems

Violation of these rules may result in account termination without refund.

3. Your Data

You own your data:

  • Student records, applications, and documents you create belong to you
  • You're responsible for the accuracy and legality of data you upload
  • You must have permission to store any personal information you add
  • You can export or delete your data at any time

We will:

  • Not sell your data to third parties
  • Only access your data when necessary for support or legal reasons
  • Provide tools to manage and export your information

4. Subscriptions & Payments

Billing:

  • Some features require a paid subscription
  • Payments are processed securely through our payment provider
  • Subscriptions auto-renew unless cancelled
  • Prices may change with 30 days notice

Cancellations & Refunds:

  • You can cancel your subscription at any time
  • Access continues until the end of your billing period
  • Refunds are provided at our discretion
  • No refunds for partial months or unused features

5. Service Availability

We strive for reliability, but:

  • Scheduled maintenance may temporarily affect availability
  • We don't guarantee 100% uptime
  • Features may be added, modified, or removed
  • We may suspend access for violations or maintenance

6. Intellectual Property

Our Property:

  • Flow, its logo, and branding are our property
  • The software, design, and code belong to us
  • You may not use our trademarks without permission

Your License:

  • We grant you a limited, non-exclusive license to use the service
  • This license is subject to these terms and active payment

7. Disclaimers

THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED.

We don't guarantee that:

  • The service will meet all your requirements
  • The service will be uninterrupted or error-free
  • Results from using the service will be accurate or reliable

8. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW:

  • We're not liable for indirect, incidental, or consequential damages
  • Our total liability is limited to the amount you paid in the past 12 months
  • We're not responsible for data loss or service interruptions

9. Indemnification

You agree to indemnify and hold us harmless from any claims, damages, or expenses arising from:

  • Your use of the service
  • Your violation of these terms
  • Your violation of any third-party rights
  • Content you upload to the platform

10. Termination

By You: You may close your account at any time through your account settings.

By Us: We may suspend or terminate your account for:

  • Violation of these terms
  • Abuse of the platform or other users
  • Extended non-payment
  • Discontinuation of the service (with notice)

Upon termination, your access ends and we may delete your data after a reasonable period.

11. Changes to Terms

We may update these terms from time to time. We'll notify you of material changes via email or through the platform. Continued use after changes means you accept the updated terms.

12. Governing Law

These terms are governed by the laws of the jurisdiction where our company is registered, without regard to conflict of law principles.
